Why The Role Matters:
The Administrator, Education Innovation plays a vital role within the Faculty of Arts, Design & Architecture (ADA) Education Portfolio. This position provides high-quality administrative support for the portfolio’s programs, projects, and day-to-day operations, contributing to the successful delivery of services, initiatives, and events.
Aligned with ADA and UNSW strategic priorities, the Administrator supports key education projects and initiatives across the portfolio. This position reports to the Senior Project Manager, Innovation and does not have any direct reports.
Accountabilities:

- Provide general administrative support including processing and reconciling financial transactions, purchasing supplies, coordinating office maintenance, and organising meetings and workshops.
- Perform ad-hoc administrative tasks as required, support general office organisation, and assist other teams within the portfolio to ensure smooth operations and collaboration.
- Support the planning, delivery, and administration of Education Portfolio projects, events, and initiatives, in collaboration with internal stakeholders.
- Act as the first point of contact for designated teams within the portfolio, managing shared inboxes and databases, and responding to a wide range of queries with appropriate action or triage.
- Maintain accurate records in line with university policies, including filing systems, spreadsheets, databases, and other administrative tools.
- Assist with data entry, tracking, and reporting for operational activities. Ensure portfolio platforms and sites are regularly updated and maintained.
- Coordinate logistics for meetings and events, including venue bookings, catering, materials preparation, registration, and on-site support.
- Organise travel arrangements and prepare travel briefs as required.
- Contribute to business improvement initiatives aimed at streamlining processes and enhancing administrative efficiency, ensuring compliance with UNSW and faculty/division guidelines.
- Promote a culture of continuous improvement by reviewing and refining administrative systems and practices, including the adoption of educational technologies and digital platforms.
Skills and Experience:
To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.

- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Advanced time management, organisational and problem-solving skills, including the ability to meet deadlines.
- Ability to work flexibly, productively, and effectively as part of a team while operating autonomously and demonstrating strong initiative and a proactive approach to driving process improvements.
- Excellent written and verbal communication skills.
- Advanced level of computer literacy with excellent skills in Microsoft Office applications and databases e.g. CRM, Dynamics, Word, Visio, PowerPoint, and Excel as well as digital platforms.
- Customer service orientation, together with excellent interpersonal skills and the ability to build and maintain positive and professional relationships with staff at all levels with internal and external stakeholders.
