Why your role matters

We are seeking a dedicated Program Administrator for Learning Abroad to join our team and support the effective day-to-day operations of the Learning Abroad unit within the Office of Global Affairs. This dynamic, student-focused role involves providing high-quality administrative support to ensure the efficient delivery of UNSW Learning Abroad programs.

The Program Administrator will engage directly with students, manage enrolment processes, and ensure alignment with relevant policies and procedures. Additionally, this role contributes to the successful delivery of key programs and projects, requiring a proactive approach, strong interpersonal skills, and the ability to work independently.

Reporting to the Manager, Exchange, this position is a vital part of our team and does not involve direct supervision of other staff.

Specific accountabilities for this role include:  

  • Develop and maintain administrative and reporting procedures and processes for the Learning Abroad programs, including enrolment, transfer of credit, offers of acceptance, student records and compliance of administrative procedures and systems.
  • Provide student advice and support, maintaining effective channels of communication, analysing requests and correspondence to prioritise and initiate, action or escalate as necessary.
  • Interpret and apply policies, guidelines, and procedures, to assist and advise and support students to ensure the effective operation of the UNSW Learning Abroad Programs.
  • Proactively contribute to initiatives to support and engage students by working closely with internal and external stakeholders.
  • Work in close partnership with the team and contribute to the development of programs, projects, plans, resources and activities and participate in the implementation and evaluation processes as required.

About You:     

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Advanced time management, organisational and problem-solving skills, including the ability to meet deadlines.
  • Well-developed interpersonal and written and verbal communication skills.
  • Demonstrated experience providing effective customer service and support to clients at all levels. Experience providing/working in student support an advantage.
  • Highly proficient computer literacy with excellent skills in Microsoft Office applications.
  • Experience with university systems and platforms (such as SIMs and Moodle or other LMS) is an advantage.
  • Ability to make sound judgements and work both independently and as part of a team.
  • Demonstrated experience supporting and contributing to projects and initiatives.
