Why The Role Matters:

The Administrative Assistant provides effective day-to-day administrative support within the School of the Arts and Media to ensure all services are provided efficiently to meet the operating needs of The Faculty of Arts, Design and Architecture. As this position is front facing the role is required to be on campus. The role reports to the School Manager, supporting the Head of School and relevant leadership within The School. This position is situated in a team-based environment where during peak times the sharing of roles and the collaborative support for the work of colleagues may occur.

Accountabilities:

  • Provide high level administrative support to the School.
  • Act as the first point of contact for internal and external stakeholders, maintaining effective channels of communication, and addressing requests and correspondence in order of priority, which may deal with urgent and often sensitive matters.
  • Proactively manage and maintain School facilities and equipment, including the hiring of and lending of resources.
  • Arrange, support and promote meetings, short courses, school activities and events for internal and external stakeholders.
  • Support and undertake course and program teaching and research administration needs, including but not limited to contingent workforce, term planning, enrolment management.
  • Undertake induction and new starter process for new staff and visitors including access to systems and building and site orientation.
  • Review and monitor operational administration requests, including but not limited to purchasing, travel, credit card reconciliation, expense reimbursements, payment requests and billing processes.
  • Develop and maintain filing systems, spreadsheets, databases, websites and other administrative systems.
  • Draft agendas, minutes, correspondence, briefing notes, and guidelines for specific committees and meetings as required.
  • Apply policies, systems, manuals, rules, procedures and guidelines relevant to this role.
  • Participate in relevant projects and business improvement activities to streamline processes and facilitate administrative efficiency.

Skills and Experience: 

To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Advanced time management, organisational and problem-solving skills, including the ability to meet deadlines.
  • Well-developed interpersonal and written and verbal communication skills.
  • Demonstrated experience providing effective customer service and support to clients at all levels.
  • Highly proficient computer literacy with excellent skills in Microsoft Office applications and experience using web and intranet applications.
  • Ability to make sound judgements and work both independently and as part of a team.
